My Digital Base Medresh – A Guide

Getting Started

Once you login to ”My digital bais medrash”, you are in the virtual Bais Medrash, and the Bais Medrash map is displayed. The Bais Medrash consists of the main Bais Medrash and two additional Rooms: the Shiur Room, and the Chaburah Room 1. You can return to this view at any time by clicking on the home tab in the left navbar.

In order to begin learning you must select a seat.

To return to this view:

Click on Home in the left navbar.

To find a seat:

Click on any seat in the Bais Medrash, Shiur Room or Chaburah Room 1. You are now seated in the Bais Medrash.

Video Meetings

You can initiate video meetings from the main Bais Medrash or any room.

To provide convenient implementation for unique video uses, there are three types of video meetings available: Native Video meetings, Zoom Video meetings and Presentations.

Native Video Meetings

TIP: Native Video meetings are convenient and intuitive within the “My digital bais medrash” environment. For example, when you move to a new table, the Native Video automatically closes any video running at the table you have left and initiates a new video at the table you have joined. In addition, Native Video enables special features such as assigning tasks to group members.

Native Video is the video mode of choice for small-group, interactive video meetings. For example, if you want to conduct a meeting with members of your table, run a Native Video meeting.


To conduct a Native Video Meeting:

  1. Click on the Join Meeting camera icon at the right corner of the top navbar. The Video Meeting taskbar appears at the bottom left corner of the screen.

A video screen appears marking the beginning of your Native Video meeting.

Note: If you have not selected a seat in the bais medrash, the video will not begin and an error message appears. Select a seat in the bais medrash and then begin your native video meeting.

  1. Share your screen by clicking on the Share Screen button < of the Video Meeting taskbar.
  2. Toggle the video on and off by clicking on the Turn Video Off button of the Meeting taskbar.
  3. Toggle the microphone by clicking on the Mute button of the Video Meeting taskbar.
  4. Activate the whiteboard by clicking on the Whiteboard button of the Video Meeting taskbar.
    • You can draw, erase, change colors, undo and redo work using the left navbar of the whiteboard. Your whiteboard is shared with the members of your meeting.
  5. End a video meeting by clicking on the red X of the Video Meeting taskbar.
  6. Click on a new table to automatically move your video meeting to a different table.

To add a task within a meeting:

You can add a task and assign it to a member of your meeting.

NOTE: You can assign a task while within a meeting using the following procedure. However, since you can assign a task independent of a meeting, there is no need to join a meeting just to assign a task. To assign a task independent of a meeting, see To create a new task:

  1. Join a video meeting. See To conduct a Native Video Meeting: The Meeting Taskbar appears.
  2. Click on the Add Task button . The Add a Task dialogue box appears.
  3. Enter a Task Title and a Short description of task in the corresponding textboxes.
  4. Click the Assignee dropdown menu. Select the Bais Medrash member who will be responsible for the task.
  5. Click the Priority dropdown menu. Select the task priority.
  6. Enter the task Due date.
  7. Click OK. The task is added to the member to whom the task was assigned. A red circle with the updated number of tasks appears on the top left menu bar near the Tasks icon.

Zoom Meetings

TIP: Zoom meetings are designed to include more than ten Bais Medrash members. In addition, if your Internet connecting is weak, try using Zoom meetings, as Zoom includes features that mitigate some connection issues.

Zoom is the video mode of choice for large, interactive video meetings. If you want to include the entire Bais Medrash or an entire room in your meeting, run Zoom.

To initiate a Zoom with members of the Bais Medrash:

  1. Integrate Zoom in your settings. See To integrate Zoom settings:
  2. Click on the label Bais Medrash which appears in the Bais Medrash area of the map. The Bais Medrash dialogue box appears.
  3. Click on the Zoom tab.
  4. Click on the Join URL: link to join an existing zoom or click on Assign a Zoom meeting button to start a new Zoom. Your Zoom is initiated.

To initiate a Zoom meeting from the Shiur or Chabura 1 room:  

  1. Click on a seat in the Shiur or Chabura 1 room. A camera icon appears in the room you have entered.
  2. Click on the camera icon in the room. A Zoom window opens in your browser.
  3. Click on the Open Zoom Meetings button. A Zoom meeting is started. The You are in a Zoom Meeting. alert and the End Zoom Meeting button appear in your “My digital bais medrash” environment.
  4. Click on the End Zoom Meeting button to end the meeting.

Presentations

TIP: Presentation is the video mode of choice for large, non-interactive video meetings. For example, if you want to give a shiur the entire Bais Medrash or an entire room, initiate a Presentation.

To share a presentation:

  1. Click on the Presentation icon at the right corner of top navbar. The Presentation dialogue box appears.
  2. Enter a name for your presentation in the Presentation name textbox.
  3. Click on the Video Presentation button to start a video presentation. Everyone in the Bais Medrash receives an invitation to your presentation. A video screen appears and your presentation begins.

OR

Click on the Screen share presentation button to share your screen. A Share Screen dialogue box appears allowing you to choose which file to share.

Audio Meetings

To conduct an audio meeting:

  1. Click on the Audio-only icon at the right corner of top navbar. The Audio-only meeting alert, and the End and Mute buttons appear.
  2. You can toggle your microphone on and off by clicking on the Mute button.
  3. You can end the meeting by clicking on the End button.
  4. Click on a new table to automatically move your audio meeting to a different table.

Interacting in the Bais Medrash

You can engage in many types of interactions with members of the Bais Medrash. You can share a link with those sitting at a table, start a chat, set up a channel of communication with a limited group, and ping a Bais Medrash user. In addition, you can start an audio or video conference, and you can share a presentation.

To share a link with users at a table:

  1. Click on a table in the Bais Medrash. The Table dialogue box appears.
  2. Click on the Share tab.
  3. From the dialogue box, you can assign your table a name, lock and unlock your room, share a text or URL among the table members, and assign that link an icon.
  4. Click on the Share Link button to share a link and the Close button to close the dialogue box.

Anyone “seated” at the table where you shared your link or joins that table can view the link you shared.

To initiate a Zoom meeting with users at a table:

  1. Integrate Zoom in your settings. See To integrate Zoom settings:
  2. Click on a table in the Bais Medrash. The Table dialogue box appears.
  3. Click on the Zoom tab.
  4. Click on the Assign a Zoom meeting button.

Note: Once a Zoom meeting is assigned at the table, a zoom icon will always appear. You can initiate Zoom meetings by clicking on the icon.

To start a Zoom meeting:

Once Zoom meetings have been initiated, you can start a table Zoom meeting by clicking on the icon which appears at the table.

  1. Click on a seat to join a table.
  2. Click on the camera icon. A new browser window opens enabling you to start a Zoom meeting. In the ZoomTorah browser window, the You are in a Zoom Meeting alert and the End Zoom Meeting button appear.

To end a zoom meeting:

To end a Zoom meeting, click the End Zoom Meeting button.

To start a chat:

You can start or join a Room Chat from your table, from anywhere in the room, or from other rooms in the Bais Medrash.

  1. Click on the Room Chat icon in the bottom right corner of the screen
  2. Enter your message in the “Write a message . . . “ section of the message screen.
  3. Press enter or Click on the send message icon

Your message appears to your table.

You can close the Message dialogue box by clicking on the X in the top right corner of the message screen or by clicking the Room Chat icon in the bottom right corner of the screen.

To create a channel:

You can create a channel to specify which members of the Bais Medrash are included in your chat.

  1. Click on Channel in the left navbar.
  2. Under Room chat, click Add Channel. The Add Channel dialogue box appears.
  3. Enter a name for your channel in the Channel Name textbox.
  4. Click on the Add members to the channel dropdown box. A dropdown menu with all of the current Bais Medrash members appears.
  5. Select a member to add him to the channel.
  6. Repeat steps 4-5 until all of the desired members are added to the channel.
  7. Click the Create button. Your channel is added and appears on the left navbar.

To communicate via a created channel:

You can use your channel to communicate with specific members of the Bais Medrash.

  1. Click on your channel on the left navbar. The Room Chat icon at the bottom right corner of the screen is now labeled by your channel’s name.
  2. Click on the Room Chat icon in the bottom right corner of the screen
  3. Enter your message in the “Write a message . . . “ section of the message screen.
  4. Click on the send message icon . Your message is sent to the members that you specified when creating that channel.

You can close the Message dialogue box by clicking on the X in the top right corner of the message screen or by clicking the Room Chat icon in the bottom right corner of the screen.

To communicate with your table after using a channel:

You can stop communicating via a specific channel and send a message to your table.

  1. Click on Room Chat in the left navbar. The Room Chat icon at the bottom right corner of the screen is now labeled by Room Chat and the Message dialogue box appears.
  2. Click on the Room Chat icon in the bottom right corner of the screen.
  3. Enter a message in the Message dialogue box.
  4. Click the send message icon

Your message is sent to everyone at your table.

You can close the Message dialogue box by clicking on the X in the top right corner of the message screen or by clicking the Room Chat icon in the bottom right corner of the screen.

To remove a channel:

You can remove a channel completely.

  1. Click on Remove Channel in the left navbar. The Remove Channel dialogue box appears.
  2. Click on the Select channel to remove textbox. A dropdown menu with all available channels appears.
  3. Select the channel to remove and click the Remove button.

Your channel is removed and no longer appears on the left navbar.

To ping a Bais Medrash user:

  1. Click on the Avatar belonging to the member you would like to ping. The User is Available dialogue box appears.
  2. Click on the Ping button. The Ping a teammate dialogue box appears.
  3. Enter your message.
  4. Click on the Ping button. Ping confirmation appears.

Rooms

The Rooms expandable list appears on the left Navbar. The Shiur Room and Chabura Room 1 appear within that expandable list. The Shiur Room and Chabura Room 1 listed on the left navbar correspond to the Shiur Room and Chabura Room 1 which appear on the Bais Medrash map.

You can view the Bais Medrash members sitting in a room, join a room, conduct a Zoom meeting within a room, conduct audio and video meetings, and share presentations.

To view the Bais Medrash members sitting in a room:

  1. In the left navbar, click Rooms to expand the list.
  2. The rooms: Shiur Room and Chaburah Room 1 appear.
  3. You can click either Shiur Room or Chabura Room 1 to view the Bais Medrash members who are learning in each of those rooms respectively.

To join a room:

You can join either the Shiur Room or Chabura Room 1.

Click on a table in either room. In the left navbar, your name appears under the name of the room you have entered. Your Avatar appears in the chair that you selected. A camera icon appears in the room, enabling you to start a zoom meeting.

To initiate a Zoom meeting within a Room:

  1. Integrate Zoom in your settings. See To integrate Zoom settings:
  2. Click on a table in the Shiur Room or Chabura Room1, or on the text חדר שיעורים. The Table dialogue box appears.
  3. Click on the Zoom tab.
  4. Click on the Assign a Zoom meeting button. Your Zoom meeting is initiated.

Note: Once a Zoom meeting is assigned in a room, a zoom icon will always appear. You can initiate Zoom meetings by clicking on the icon.

To start a Zoom meeting within a room:

Once Zoom meetings have been initiated, you can start a Zoom meeting within a room by clicking on the icon which appears in the room.

  1. Click on a seat to join a room.
  2. Click on the camera icon. A new browser window opens enabling you to start a Zoom meeting. In the “My digital bais medrash” browser window, the You are in a Zoom Meeting alert and the End Zoom Meeting button appear.
  3. Click on the End Zoom Meeting button to end the meeting.

Update and Announcements

You can make an announcement to the entire Bais Medrash, and you can update your team to let them know what you are working on.

To make an announcement:

  1. Click on the make an announcement icon on the left of the top navbar. A dropdown list appears.
  2. Click Announce. The Announce a message to the whole office. dialogue box appears.
  3. Enter your message in the What do you want to say? textbox.
  4. Click the Announce button. Your announcement appears to the members of the Bais Medrash.

To update your status:

  1. Click on the make an announcement icon on the left of the top navbar. A dropdown list appears.
  2. Click I am . . . The Let your team know your most recent status. dialogue box appears.

OR

  1. Click on your Avatar. The Status alert appears showing your most recent status.
  2. Click on the Change your status? button. The Let your team know your most recent status. dialogue box appears.
  3. Enter a description of what you are working on in the Share what you are working on. textbox. If you enter the word sick or music in your description, an appropriate icon appears next to your Avatar.
  4. Enter a link to the document you are working on in the URL textbox. An appropriate icon will be added to your Avatar.
  5. Select the type of meeting from the Video / Voice / Zoom Meeting dropdown list.
  6. Click on the Update button. Your status is updated.

To view someone’s status:

Click on the Avatar whose status you wish to view. The Status alert appears showing your most recent status.

Tasks

You can manage your tasks, create new ones, mark them as complete, and delete them.

To manage your tasks:

  1. Click the Tasks icon on the right of the top navbar. (The number in the icon represents the number of outstanding tasks.) The Tasks dropdown menu appears.
  2. Click Tasks. The Tasks board appears.

To create a new task:

  1. Open the Tasks board. (See To manage your tasks:)
  2. Click the Create A New Task dropdown list. The Create A New Task dialogue box appears.
  3. Enter a Task Title and a Short description of task in the corresponding textboxes.
  4. Select the person to which the task is assigned from the Assignee dropdown list and the task priority from the Priority dropdown list.
  5. Enter a due date in the Due date textbox.
  6. Click Create Task. The task appears for the member to which the task is assigned.

To change the status of a task:

  1. Open the Tasks board. (See To manage your tasks:)
  2. Select the desired action from the Actions column in the Tasks Table: Complete Task, Start Task, or Delete Task. The confirm tooltip appears.
  3. Confirm the action by clicking the Yes button on the tooltip. The status of the task is updated and is reflected to the ZoomTorah member to which the task is assigned.

Set Availability

You can toggle your availability at any time and from any location in the Bais Medrash. If you leave your computer at any time or you have completed your session with ZoomTorah, you may choose to make yourself unavailable.

Your availability status will affect when people can reach you. For example, an audio or video meeting cannot be established with someone whose availability status is set to Away.

To set availability:

  1. In the top menu, click the Available dropdown menu.
  2. Select your current availability. Your choice will remain selected in the availability dropdown menu.

Language

You can toggle the language at any time and from any location in the Bais Medrash.

To toggle the language:

  1. In the right corner of the top menu, click the Language dropdown menu.
  2. Select your language. The text on the screen appears in your selected language.

Settings

You can change your name, role, location, and avatar, and you can block task emails. Also, you can integrate Zoom and Google.

Note: You cannot initiate a Zoom meeting until you have integrated Zoom in your settings.

To change settings:

  1. Click on the Settings link on the left navbar. The Settings dialogue box appears.
  2. Enter your name in the Your Name textbox.
  3. Enter your role in the Bais Medrash in the Your Role textbox.
  4. Check on the Block task emails checkbox to block task emails.
  5. Select a default Avatar from the Default Avatars dropdown list or upload your picture for an Avatar by clicking the Click to Upload button.
  6. Click on the Save button. Your settings are updated.

To integrate Google settings:

Integrate your Google settings to automatically synchronize your Google Calendar with “My digital bais medrash.”

  1. Click on the Settings link on the left navbar. The Settings dialogue box appears.
  2. Scroll down and click on the Connect Google button.
  3. Select the Google account that you want to integrate.
  4. The Bais Medrash view appears and your Google account is integrated.

To integrate Zoom settings:

Integrate your Zoom settings to enable Zoom meetings.

  1. Click on the Settings link on the left navbar. The Settings dialogue box appears.
  2. Scroll down and click on the Connect Zoom button. The Zoom window appears in your browser.
  3. Sign in to Zoom, or Sign Up. The Zoom approval request appears.
  4. Click the pre-approve button.
  5. Click the Authorize button to grand My Digital Office access to your Zoom account. You return to the Settings screen of “My digital bais medrash.” The Connect Zoom button is replaced with the Your Zoom account is connected alert and Zoom is integrated.

View User Details

You can view the amount of time any user has spent in the Bais Medrash this week, users local time and status, and you can ping a user. You can search for specific users and view how users spent their time.

To view user details:

  1. Click on the Space link in the left navbar. The Your Space window opens in the browser.
  2. Scroll down and click the Members tab.
  3. View desired details in the chart.

To view how users spent their time in the Bais Medrash:

  1. Click on the Space link in the left navbar. The Your Space window opens in the browser.
  2. Scroll down and click the Time Charts tab.
  3. View desired details in the chart.

To ping a user:

  1. Click on the Space link in the left navbar. The Your Space window opens in the browser.
  2. Scroll down and click the Members tab.
  3. Click on the ping icon in the Actions column of the chart corresponding to the user you wish to ping. The Ping a teammate. dialogue box appears.
  4. Enter a message and click the Ping button. Your ping is sent.

Change Bais Medrash Name and Layout

You can change the name of the Bais Medrash and place a user request for a new Bais Medrash layout.

To change the name of the Bais Medrash:

  1. Click on the Space link in the left navbar. The Your Space window opens in the browser.
  2. In the textbox that displays the Bais Medrash name (ZoomTorah), enter a new name.
  3. Click the Save button.
  4. Click the Home link from the left navbar. The Home view of “My digital bais medrash” appears.
  5. Click the tooltip of the Bais Medrash icon on the left of the top navbar which displays the current name. The name is updated.

To view possible Bais Medrash layouts:

  1. Click on the Space link in the left navbar. The Your Space window opens in the browser.
  2. Under Layouts, click on the play icon located in the middle of the picture showing the current layout. The possible layouts are shown.

Note: A paying user can request a new layout to be implemented.
